Takeda has an exciting opportunity for a RIM eArchive Solutions Manager located in Lexington, Massachusetts reporting to the Associate Director-RIM eArchive Solutions Lead on the Records and Information Management (RIM) Team within the Legal department


This role will proactively respond to global records management needs of the business by supporting projects that critically evaluate and implement records management services. The incumbent will provide excellent electronic records management support for the Global organization in response to their business needs. The role will largely focus on addressing digital materials created by, given to, and divested from all business areas of Takeda for long-term digital preservation including the creation of metadata records. The role will also support the development of new or improvement of existing procedural documents regarding the creation, storage, preservation, organization, description, and access to digital materials.

Working alongside other members of the Records and Information Management team under the direction of the Associate Director-RIM eArchive Solutions Lead and in collaboration with Legal Information Technology, this role will be responsible for providing expert guidance, operational support, and process improvement input. The role is responsible for following Takeda s established and proven electronic Archiving processes and ensuring all electronic data archival requests meet the expectations of Data Owners


Project Management

  • Manages globally the assessment and appraisal of electronic records for archival to meet the Global Records and Information Management Policy and Global Records Retention Schedule or preservation when subject to Legal Hold

  • Manages and oversees data transfer activities for Takeda divestitures and Mergers & Acquisitions (M&As), ensuring compliance of the transfers (chain of custody) and notifying the appropriate Subject Matter Experts, such as colleagues in Legal and Data Privacy, as necessary

  • Questionnaire (DAQ) Status meetings, Data Appraisal and Digital Curation (DADC) weekly meetings, and/or Executive Sponsorship meetings such as status tracking, meeting minutes, and presentation development. Enables the eArchive solutions team to effectively track projects, allocate resources, capture and report on metrics, and communicate to key stakeholders including senior management

  • Develops and manages the communication and change management for key electronic archival implementations and related milestones

Stakeholder Relationship Management

  • Provides guidance to global Takeda stakeholders such as IT Systems Owners and Data Owners for the archival and disposition of eligible electronic systems and records that are beyond their useful life and not under Document Preservation Hold

  • Provides guidance to the Takeda business and functions such as Legal on data transfers for divestitures and/or Mergers & Acquisitions (M&As) ensuring that the Chain of Custody is being documented for Legal Compliance.
  • Trains global Takeda stakeholders on the electronic archiving standard/process and provides demos with the help of Legal IT on RIM applications/tools as applicable

Electronic Archiving Duties

  • Establishes appropriate metadata and taxonomy controls within the RIM electronic record systems and repositories for the classification and accessibility of information/records for Takeda stakeholders

  • Learns, oversees, and ensures electronic records that require retention and/or tracking (physical and/or electronic records) as per the Global Records Retention Schedule are archived/tracked from multiple computerized systems/repositories for multiple business units globally

  • Analyzes repositories and/or computerized systems with dark/abandoned electronic records and assesses the Ownership and/or Redundant, Obsolete, Trivial (ROT) data so unwanted records may be dispositioned accordingly
  • Provides and develops training documentation and materials as needed for the RIM archival process

  • Monitors the DAQ Demand Registry, ensuring the chain of custody is accurate for each electronic archival request

  • Other duties and projects as assigned.


  • Quality and/or Validation experience within a regulated industry required

  • Experience with project management and team facilitation
  • Understanding of database management principles, enterprise architecture, and systems analysis
  • Understanding of Records and Information Management principles and procedures, especially in the digital preservation of electronic records
  • Understanding of the Open Archival Information Systems (OAIS) model
  • Strong working knowledge of MS Office Suite especially Outlook, Word, PowerPoint and Excel
  • Ability to create and interpret process maps and data flows
  • Self-motivated and able to take initiative and work independently in a team environment, completing tasks to deadlines
  • Excellent documentation and technical writing skills
  • Excellent verbal and communication skills within a global setting
  • Excellent planning and organizational skills
  • Applies appropriate judgement and technical expertise to quickly resolve concerns or challenges that arise
  • Microfocus Content Manager and ControlPoint experience optional

We would expect the successful candidate to have both relevant experience and potential for further growth. We anticipate successful candidates will have:

  • At least 5 years proven work and supervisory experience in Records and Information Management, Information Governance, or a related discipline such as Quality or Validation with digital knowledge/experience strongly preferred
  • The ability to manage implementations directly and/or indirectly as needed
  • The ability to work in a fast paced, global environment with the availability to work within different time zones (e.g., Europe, Japan) as needed
  • Occasional travel (approximately 10%) as needed
  • The familiarity/comfort with automated records management principles and systems, as well as other information technology systems
  • Industry experience in a regulated or legal environment with a clear understanding of government regulatory requirements (i.e. GxP)


  • A bachelor s degree in a relevant field (business management, quality assurance, engineering, computer science preferred) or equivalent work experience
  • An M.S. in library science, information science or computer science or a certification from an accredited records management/project management professional organization such as a Certified Information Professional (CIP) from the Association for Intelligent Information Management (AIIM) is strongly preferred
