Job Description Purpose
Manages and oversees all L&D live event training/meeting logistics, L&D budget and related processes for Learning & Development/ HR Department functions to ensure a high-quality, well-organized, and consistent program that meets business goals and objectives. Manages several complex budgets that span multiple audiences and functions within Learning & Development. Manages the Novo Nordisk Inc. Training Center in Princeton, New Jersey. This person is responsible for the team that manages the logistics associated with over 100 training events within and outside the Training Center.

Reports to the Director, Learning & Development Operations and works closely with all Learning & Development Senior Leadership members, and team members. Internal relationships include Talent Acquisition, Diabetes/Obesity/BioPharm Field Sales, Market Access, Clinical Medical Regulatory (CMR), Clinical Trial Management (CTM), HR, Marketing, Finance and other areas across Human Resources. External relationships include key preferred vendors and suppliers within Meeting planning/logistics, Meeting Production, Air travel, Hotel, travel and transportation industry. Manages relationship with Kelly Services for the agreement of the responsibilities for the Training Center management and staff.

Essential Functions
Budget Management: Develops and monitors the annual budget for Learning & Development, the Training Center, and other areas required expenditures to execute training logistics. Ensures expenses are accurately forecasted, controlled and modified in alignment with financial business performance. Evaluate budget documentation to ensure it confirms to company guidelines and maintain documentation needed to support accruals, expenditures, etc. Owns process for L&D department timing for inputting SOWs, tracking of projects and project closeout. Prepares for and participates in budget review meetings with key finance teams. Prepares, justifies and administers budgets in accordance with process and organizational goals. Provides continual management support of overall Learning & Development and Training Center budget forecasting, coordination, and tracking, invoice processing, and SAP reconciliation.

Manages Vendors: Key contact for L&D in meeting logistics, production, and communication strategy/implementation vendor partnership and managing the full L&D annual calendar. Considers vendor performance and effectiveness, and makes recommendations for selecting vendors for future projects. Develops requests for proposals; evaluates and provides input into vendor selection based on costs, qualifications and other pertinent factors based on the training and coordinates legal review of the finalized contract. Ensures that vendors are compliant with contract clauses, and negotiates contracts to meet current and future work requirements. Negotiate vendor contracts, including pricing and services. Oversee timely payment of invoices.

Meeting/Training Management: Own development of Standard Operating Procedures (SOP) for the planning for and management of L&D training program and ensures that all quality standards are met. Defines and develops plan to execute and track metrics related to training program logistics, participation, program evaluation, etc. Demonstrates and communicates significant knowledge of organizational meeting/training management practices and processes, and applies this to anticipate and resolve complex issues. Directly responsible for all meeting logistics for L&D and owns process for logistical planning of all live events on behalf of L&D. Develop SOPs for meeting/training planning and implementation and communicate/liaise with other areas of Human Resources to ensure program needs are met. Develop, communicate, and manage the L&D annual planning calendar for all meeting/training events. Ensure delivery against expectations for all meeting/training management responsibilities. Work directly with meeting sourcing vendor for the securing of key contracts for full annual training event execution. Own process for contract negotiation for full annual training event execution. Establish resource mapping process and key decisions required for L&D events. Own development of communication templates for the planning/execution of all L&D events. Directly responsible for management of vendor for the development of and execution of the L&D communication strategic plan annually. Own process for mapping budget for all L&D business units live events. Establish meeting budgets per agreed to annual calendar and communicate to vendor. Work with vendor for the annual budget requirement based on aligned plan. Annualize total event cost back to plan and make recommendation for needs going forward. Manages event lifecycle, from inception through close-out. Manage expense report processing for all L&D training events. Owns process for L&D to ensure/monitor adherence to internal and external policies and procedures. Serve as primary point-of-contact and internal expert on meeting/training management, as well as associated contracts and costs.

Training Center Management: Develop, track and maintain metrics and reports related to Training Center use, satisfaction, etc. Ensure Training Center meets acceptable standards for event management, food and beverages, A/V support, scheduling, materials, etc. Evaluate and enhance Training Center operations and processes (e.g., booking processes, event quality). Oversee Novo Nordisk’s Training Center, including management of vendors and staff.

Physical Requirements
0-10% overnight travel required.

* A Bachelor’s Degree required; or relevant experience and /or certification may be substituted for degree, when appropriate
* A minimum of 9 years of progressive work experience, with experience in HR/Learning & Development is preferred
* 4+ years in a project management environment or a role where project management is largely in scope is preferred
* Certification in project management preferred
* Understanding of finance timelines, budget systems/process within SAP preferred
* Ability to identify and resolve complex problems, displaying a high level of critical thinking skills
* Ability to manage multiple internal and external relationships
* Ability to provide direction and follow-up to ensure requests are completed
* Demonstrated leadership skills and cross-functional team facilitation experience
* Detail-orientation with high attention to quality results
* Experience using Microsoft Office, including Excel One to two years of supervisory experience preferred
* Strong organization/time management skills
* Strong written and verbal communications skills. Use of Globeshare/sharepoint preferred
